Portfolio Review
TITLE
The following procedure outlines the required steps for completing the 2026 Portfolio Review process.
Step 1: Review Eligibility and Terms and Conditions
1.1 Review the applicable eligibility criteria and Portfolio Review Terms and Conditions to confirm qualification for participation.
Step 2: Determine Scope of Participation
2.1 Applicants are required to submit complete supporting documentation for all eight (8) mandatory Baseline Practices (as applicable to the building).
2.2 Determine whether any additional questions from the Eligible Questions list will be pursued beyond the mandatory Baseline Practices.
Step 3: Review and Align Documentation
3.1 Refer to the official BOMA BEST Sustainable Field Guide.
3.2 Ensure all requirements for the Baseline Practices and any additional selected questions are fully addressed within applicable policies, plans, and procedures.
Step 4: Complete Registration
4.1 Register for the portfolio review by May 1, 2026.
4.2 Submit signed Terms and Conditions as part of the registration process.
4.3 Upon submission, the BOMA BEST Technical Team will conduct a review and issue a decision within five (5) business days. Please do not proceed until a response has been received.
4.4 If approved, BOMA Canada will issue an invoice. Once received, proceed to Step 5.
Step 5: Submit Supporting Documentation
5.1 Within five (5) business days of approval from the BOMA BEST Technical Team, submit all required documentation.
5.2 Documentation must be sent via a secure shared platform (e.g., SharePoint, Dropbox) or secure file transfer service (e.g., WeTransfer).
5.3 Documentation must be sent to: support@bomabest.org
Step 6: Await First Review
6.1 The review process will commence once payment has been received.
6.2 The first review will be completed by June 26, 2026.
6.3 Applicants are requested not to follow up regarding review status prior to June 26, 2026.
6.4 Any follow-up inquiries submitted before June 26, 2026, will not receive a response.
Step 7: Respond to Review Feedback
7.1 Upon receipt of the first review, applicants must respond to:
- Feedback
- Requests for additional information
- Any outstanding items
7.2 Applicants have twenty-five (25) business days to respond.
7.3 The 25-business-day timeline begins on the date the first review is returned to the applicant.
Step 8: Receive Portfolio Assessment Report
8.1 Upon completion of the portfolio review, applicants will receive a Portfolio Assessment Report.
8.2 The report will specify:
- Which questions are complete
- Which questions require building-specific information for verification
8.3 Verifiers assigned to building submissions will also receive access to this report to ensure alignment with decisions made by the BOMA BEST Technical Team.
Step 9: Submit Buildings for Verification
9.1 After receiving the Portfolio Assessment Report, applicants may begin submitting buildings for verification.
9.2 All building submissions must reference the Portfolio Assessment Report.
9.3 Applicants must provide documentation as specified within the report for each building submission.
Step 10: Verification Access and Document Control
10.1 Verifiers will be granted access to:
- The Portfolio Assessment Report
- Relevant company documentation
10.2 Access will be limited to the duration of the verifier’s assignment to the submission.
10.3 Upon completion of building verification, access to all related documents will be revoked.
