Portfolio Review
TITLE
Portfolio Review Guidelines
A Portfolio Review is a streamlined assessment process that evaluates company-wide policies, plans, and procedures in advance of individual building verification submissions. By reviewing applicable practices at the portfolio level, organizations can confirm which requirements have already been achieved before completing building-level applicable questions.
A Portfolio Review provides several key advantages:
1. Know What Has Already Been AchievedOrganizations gain clarity on which questions and practices have already been met at a company-wide level before beginning individual building submissions.
2. Reduce Documentation UploadsOnce practices are approved at the portfolio level, the amount of documentation required for each individual building is significantly reduced. Buildings can then focus on the documentation for building-level applicable questions. Note that any questions that the applicant is pursuing outside of the portfolio review process must have relevant documentation uploaded to the respective questionnaire in the BOMA BEST Hub.
3. Save Time in the Submission ProcessBy eliminating repetitive document uploads and reviews across multiple buildings, the overall certification process becomes more efficient and streamlined.

Portfolio Review Fee
The Portfolio Review fee is $2,000.
The fee is fixed and does not vary based on:
- Whether only the mandatory Baseline Practices are pursued, or
- Whether additional questions are included in the review.
The cost remains the same regardless of scope.
Key Dates and Deadlines
- Registration must be completed no later than May 1, 2026.
- Initial portfolio reviews will be completed by June 26, 2026.
- Applicants will have twenty-five (25) business days from receipt of review feedback to respond and provide any updated or additional documentation.
- If updated documentation is not submitted within the required timeframe, BOMA BEST reserves the right to discontinue the portfolio review. In such cases, no refund will be issued.
- All portfolio reviews must be fully completed no later than August 21, 2026.
Mandatory Baseline Practices
As part of the Portfolio Review, applicants must submit documentation for the eight (8) mandatory Baseline Practices. These are the questions identified as (MANDATORY):
- E2.0 – Energy Management Plan
- E13.0 – Owner or Landlord Shares Energy and Carbon Practices
- W7.0 – Owner or Landlord Shares Water Management Practices
- I4.0 – IAQ Management in Construction
- I8.0 – Landlord Shares IAQ and Hazards Practices
- A4.0 – Occupant Engagement
- P2.0 – Green Cleaning Program
- P8.0 – Landlord Shares Custodial and Waste Management Practices
Complete supporting documentation for these Baseline Practices must be submitted as part of the Portfolio Review process.
Portfolio Review Outcomes
Following completion of the Portfolio Review, questions will fall into one of two categories: Fully Approved or Preapproved (Building-Specific Documentation Required).
Questions Eligible for Full Approval
For the following questions, no documentation will need to be uploaded at the building level. Applicants must only complete the questions within the questionnaire.
- E5.3 – Energy and Carbon in New Tenancies
- I4.0 – IAQ Management in Construction (MANDATORY)
- P2.2 – Enhanced Cleaning Protocols
- P6.3 – Waste Management in Tenant Construction
- R1.3 – Hardscape Management Program
Questions Requiring Building-Specific Documentation
For the following questions, applicants must complete the questionnaire and provide outstanding building-specific documentation as identified in the Portfolio Assessment Report.
E2.0 – Energy Management Plan (MANDATORY)
- Where portfolio-wide Energy Management Plans are referenced, applicants must provide a narrative describing how the plan is applied at the building level.
E13.0 – Owner or Landlord Shares Energy and Carbon Practices (MANDATORY)
- Proof of implementation at the building level is required.
W7.0 – Owner or Landlord Shares Water Management Practices (MANDATORY)
- Proof of implementation at the building level is required.
I6.1 – Hazardous Materials Management
- Proof of implementation at the building level.
- List of hazardous materials present at the building.
I6.2 – Hazardous Chemicals Management
- Proof of implementation at the building level.
- List of hazardous chemicals present at the building.
I8.0 – Landlord Shares IAQ and Hazards Practices (MANDATORY)
- Proof of implementation at the building level is required.
A4.0 – Occupant Engagement (MANDATORY)
- Proof of implementation at the building level is required.
P2.0 – Green Cleaning Program (MANDATORY)
- Building-level page identifying responsible parties and cleaning staff information.
- Proof of implementation at the building level.
P8.0 – Landlord Shares Custodial and Waste Management Practices (MANDATORY)
- Proof of implementation at the building level is required.
P1.1 – Circular Economy Procurement Strategy
- Proof that each strategy is implemented at the building level.
- Building-level page identifying responsible parties and building-specific pest management services.
- Proof of implementation at the building level.
P6.2 – Waste Control in Construction Specifications
- Portfolio-level waste control specifications may be preapproved.
- The section of construction specifications detailing contractor commitment must be building-specific.
- Photos, waybills, or inspection reports demonstrating implementation of the program are required at the building level.
The Portfolio Assessment Report issued at the conclusion of the review will clearly identify which questions are complete, and which require building-specific documentation for verification.
